Professional services

Keep billable time on client work, not admin.

Law, accounting, consulting, and agency firms lose margin in the gaps between intake, delivery, and billing systems. We close those gaps so fee earners spend their hours on the work clients pay for.

The pattern

Where firms that bill time leak it.

None of these is one broken system. It is the manual work bridging systems that were never connected.

Client and matter intake is a manual checklist that depends on one person.
Time gets captured late or not at all, and realization quietly drops.
Documents are spread across email, shared drives, and the practice tool with no single index.
Conflict checks and engagement letters are handled by hand for every new matter.
Utilization, WIP, and realization reports are rebuilt in a spreadsheet every month.
Billing and AR are reconciled manually between the practice system and accounting.

What we build

The systems that pay back first.

Intake

Enquiry to open matter

A new enquiry runs the conflict check, sends the engagement letter for signature, opens the matter in your practice system, creates the folder structure, and schedules kickoff — without anyone working a checklist.

Time

Capture that does not leak

Prompts against calendar and document activity so time is recorded the same day, and a reconciliation that surfaces gaps before the bill goes out.

Documents

One index across tools

Intake documents and deliverables filed to the right matter automatically, so nobody searches three places for the current version.

Billing

Reconciled AR

Invoices, payments, and matter records synchronized between the practice system and accounting, with mismatches flagged rather than found at month end.

Reporting

Utilization without assembly

Realization, WIP, and utilization pulled from source on a schedule into one view the partners see the same way every week.

Example system

Client intake, end to end.

A representative build: the enquiry form creates a prospect record, runs a conflict check and flags any hit for review, sends the engagement letter for e-signature, and on signature opens the matter, builds the folder structure, schedules the kickoff, starts the welcome sequence, and assigns the internal setup tasks.

What changes: intake that took a partner and a paralegal half a day now takes minutes of review, and no step gets skipped under load.

Questions

About professional services work

Usually yes. If it has an API or webhooks — most modern practice management, PSA, and project tools do — we integrate through that. For older systems we look at file-based exchange or database access with the vendor's blessing. We confirm what is possible during scoping and tell you early if something in your stack does not expose a usable interface.

Workflows move only the fields a step needs, access is least-privilege with scoped credentials rather than shared logins, and personal or privileged data is kept out of reporting and logging unless a specific requirement justifies it. Where your firm operates under specific confidentiality or regulatory obligations, those become explicit constraints in the design.

From a few fee earners upward. The trigger is not headcount — it is a process that matters (intake, billing, matter management) that has outgrown spreadsheets and email and now depends on one person remembering the steps.

Client and matter intake, or billing and WIP reconciliation. Both are high-volume, touch several systems, and have a measurable cost today — which makes them good first projects with a clear before-and-after.
